The quote and reservation process through Wellness Latin America is quite simple and established in such a way to make your “life easier” since the planning stages of the vacation program up to the actual booking to assure an excellent service.

Send us our Vacation Planner Form available at our website including preferencesyou’re your vacation to Costa Rica. The form allows as well for you to include additional notes regarding any specific needs and/or requirements you may have.

You may create your own wish list selecting posted services on our website for which you might be interested in. Just click on the “ADD” button available for any room category at selected hotels, spas, optional day tours, packages, surgery recovery centers or transportation services. The form allows as well for you to include additional notes regarding any specific needs and/or requirements prior to be submitted.

Written Quotes
After you have contacted one of our travel consultants, we will send you via email a detailed itinerary and quote in less than 24 hours for your feedback, revision and/or acceptance.  Please note that quotes do not guarantee availability of space and/or firm pricing until a security deposit is placed to activate the reservation.  Upon receipt of the deposit we will proceed to secure space with involved suppliers.

Bookings
Once your required travel services are agreed upon with us, we will require a $200 per person deposit in order to confirm and secure space for any reservation (pricing and availability of services will not be firm unless corresponding deposit takes place).  Once deposit of services is received, we will provide you with corresponding confirmation of firm availability and services within 48 hours or sooner. Your deposit will be applied to the final payment.

Final Payments
Final payments for travel services are due 45 days prior to departure date. Bookings taken within 45 days of travel date will require full payment. In certain cases additional deposits and/or payments may be required for certain hotels due to the popularity of the destination or on certain holiday periods prior to 45 days before arrival. If so, you will be notified accordingly. 

Changes & Cancellations
For confirmed reservations any first change is free of charge. Subsequent changes placed sooner than 45 days prior to departure are subject to a $25 per person fee. Additional changes within 45 days prior to departure date are subject to a $50 per person fee. The following cancelation fees apply in addition to any supplier fees or penalties:  $50 per person 45 days or more prior to travel date; $200 per person 44 to 15 days prior to travel date; 50% of total services 14 to 7 days from travel date. Cancellations received within 7 days of travel date are non refundable.  All cancellations must be received in writing. In certain cases other cancellation penalties may apply during certain holiday periods by certain hotels, airlines or other suppliers with stricter cancellation penalties than Wellness Latin America Ltd. In those cases the customer will pay for the additional penalties imposed to us by these suppliers. We strongly recommend purchase of a trip cancellation insurance to cover such cancellation fees.

Travel Documents
E-Travel documents will be sent via email at agreed email address with us at least two weeks prior to departure travel date including electronic exchange orders for services.
